today announced that Advocat, a provider of long-term services to
nursing home patients in eight states, has substantially increased
business efficiencies through UltiPro’s Software-as-a-Service (SaaS)
delivery, reporting capabilities, and convenient access for remote
HR/payroll staff since implementing UltiPro in 2006.
Before UltiPro, Advocat used a payroll solution designed for healthcare
that was not equipped to handle the organization’s large workforce and
complex pay rules. Relying on spreadsheets for its payroll and
employee-related reporting, Advocat began to experience inefficiencies
and problems with data integrity. Advocat selected Ultimate’s SaaS
offering to eliminate these issues and free its IT team from the
workload related to the hardware and system maintenance for its
HR/payroll technology.
“We wanted all the benefits of UltiPro’s HCM functionality without our
internal resources having to manage servers that contain information for
our 5,800 employees,” said Susan Shires, director of payroll and taxes
for Advocat. “Our information is securely housed at Ultimate’s data
center, and we are very pleased that Ultimate’s staff handles all the IT
aspects of the solution for us.”
One of the challenges that Shires and her team had to overcome was
consolidated workforce reporting. Before UltiPro, her team had to create
more than 100 spreadsheets each month — one for each location — in order
to compile the necessary information for taxation and compliance
reports. With the company’s dozens of pay groups and six federal
identification numbers (FEINs), Advocat’s payroll team spent much of its
time on basic reporting.
“We configured UltiPro so that we can build reports by location, pay
group, or FEIN, and we get exactly what we need,” said Shires. “Before
UltiPro, we never had the depth and scope of reporting that we now can
get in minutes today. Relying on spreadsheets for reporting is a thing
of the past.”
Now Shires can efficiently generate workforce analytics, and because the
solution is easy to use, her team members can also quickly access and
locate the data they need. With thousands of employees in multiple
states, Advocat has field associates who need to make changes and upload
information into UltiPro on a daily basis.
